Before the Wedding:
· Collect and canvass suppliers needed (church to souvenirs)
· Set appointments for the couple to meet with the suppliers
· Create a timetable for the couple
· Provide the couple with a checklist of accomplishments
· Recommend accredited professional and dependable vendors that best suit the couple’s needs and budget.
· Follow up and confirm with wedding suppliers (banquet manager, florist/event stylist, photographer, videographer, cake designer, musicians / band / sound system, gown designer, stationer etc.)
· Organize layout of wedding reception
· Help organize ceremony and reception materials (e.g. gifts for entourage, offertory materials, missalettes, souvenirs, etc.)
· Briefing of members of the entourage and mass participants 3 days before the event
· Provide an outline with exact time of reception program
· Organize rehearsal (if allowed by the church)
· Unlimited consultations / personal meetings
On the Wedding Day:
· Arrive 5 hours during the dressing up of the bride to meet hair & make
up artist, check on the delivery or set up of the flowers, arrival of the
photographer, videographer, and designer.
· Arrange the wedding trousseau on the bed for photograph purposes
· Assist bride in dressing up and check on last minute details.
· Collect and prepare materials, flowers, pillows, arrhae, coins, rings, Bible, candles, etc to be brought to church.
· Coordinate with photographer & videographer for photo shoot before going to the ceremony venue.
· In charge for time check for punctuality
Before the Ceremony:
· Meet suppliers and check inventory of supplies
· Assemble all needed materials and paraphernalia (i.e. missalettes, unity candle, offertory materials)
· Ensure proper set-up of ceremony site (decorations, couple’s chairs, candle arrangements, seating arrangements of entourage, parents, sponsors, musicians/singer/s and offerors)
· Check attendance of liturgical entourage and ceremony participants
· Brief & cue the wedding participants (entourage, lector, offerors, readers, etc.) of their respective duties & responsibilities.
· Gather flowers of the entourage for distribution at the church
· Organize the processional line (or work hand in hand with ushers if provided by the church)
· Distribute wedding accessories (candle, veil, cord, Bible, rosary, ring & arrhae pillows) to respective ceremony participants
· Organize and cue processional line up and cue proper distance for picture taking
· Assist the bride in fixing of her veil and train before her wedding march and check on her make up (if make up artist is not there to do touch-up)
· Cue the musicians if bride is ready to enter the church for her bridal march song
· Assist in photo session/order of picture taking after the ceremony
· Supervise petal/confetti/bubble shower/butterfly release and dove release
· Gather and safe keep all wedding accessories endorsed to coordinator after the ceremony
Before the Reception:
· Meet and check inventory of supplies from your service providers
· Collect all needed materials to be brought to the reception venue: gifts and favors, wines (if couple provides) and all other wedding reception paraphernalia.
· Ensure proper set-up of reception site
· 1 or 2 coordinators present to check on the layout and set-up of the ballroom/venue
(Check correct table numbers, chair count & specific seating arrangement
for the VIP tables.)
· Assist in set up for the layout of special linens and chairs.
· Check delivery of cake and set up of cake table.
· Check delivery of flowers and décor set up.
· Organize registration table & gift table
· Execute new changes or troubleshoot, if necessary, and take care of emergency situations
During the Reception:
· Check arrival of suppliers & set-up of musicians/strings, emcee, band/mobile, audio-visual presentation system, sound system
· Facilitate registration of guests
· Help usher guests to their respective seats
· Prepare and direct the wedding reception program script.
· Provide copies of program flow/script to photographer, sound system and emcee
· Route the guest book or signature frame
· Assist photographer and/or videographer where they are needed to
ensure smooth transition of photos.
· Oversee and directs the cutting of the cake, toast, first dance, and garter
and bouquet tosses.
· Distribution of wedding souvenirs for the principal sponsors and guests before the program ends (or during dinner)
· Maintain timing of each event for smooth flow of the program with
coordination with emcee/ host.
· Safe keep gifts of couple (special instructions from client as to where gifts will be brought
or turn over to person in charge)
· Coordinate with captain waiter and ensure good service of food and beverage to guests, most especially to the couple and the VIP tables
· Manage the meal provided for suppliers
After the Reception:
· Distribute “pay envelopes” (balance) to suppliers
· Inventory of beverages (for wine and alcoholic drinks if couple provides)
· Collect wedding accessories and other materials and turn-over to client or person-in-charge
